About This Policy
This workplace policy outlines the expectations, standards, and guidelines for everyone who works with Regium Touch — whether full-time, part-time, contract, or intern. It applies to all work environments including our office in Freetown, remote work settings, and any location where you represent the company.

Professional Conduct
All team members are expected to:
- Communicate respectfully and professionally with colleagues, clients, and partners at all times.
- Be punctual for meetings, deadlines, and scheduled work hours.
- Maintain a positive, solution-oriented attitude — raise concerns constructively rather than complaining.
- Dress appropriately for client meetings and public-facing events. Casual attire is acceptable for internal work days.
- Avoid any form of harassment, discrimination, or bullying. This includes verbal, written, and online behaviour.
Work Hours & Attendance
Standard working hours are Monday to Friday, 9:00 AM to 5:00 PM (GMT). Flexibility is offered where possible, but all team members must:
- Be available and responsive during core hours (10:00 AM — 3:00 PM).
- Communicate in advance if they will be late, absent, or unavailable.
- Request time off at least 48 hours in advance for planned absences.
- Not take on outside work that conflicts with their responsibilities at Regium Touch without prior approval.
Remote Work Policy
Regium Touch supports flexible and remote work arrangements. When working remotely, team members must:
- Have a reliable internet connection and a quiet workspace suitable for calls and focused work.
- Be reachable via our primary communication tools (WhatsApp, email) during core hours.
- Join all scheduled meetings with camera on unless otherwise agreed.
- Provide regular updates on task progress — do not go silent for extended periods.
- Maintain the same level of professionalism and output as in-office work.
Communication Standards
Clear communication is essential in a small, fast-moving team:
- Respond to internal messages within 2 hours during working hours. If you need more time, acknowledge and give a timeline.
- Respond to client messages within 24 hours, even if only to acknowledge receipt.
- Use clear, professional language in all written communication — emails, messages, and documents.
- When in doubt, over-communicate. It is always better to share too much context than too little.
- Keep project-related discussions in shared channels, not private messages, so the team stays informed.
Social Media & Online Presence
As a digital marketing agency, our online presence reflects directly on our brand:
- Do not post content on behalf of Regium Touch without approval from the CEO or designated lead.
- When posting about Regium Touch on personal accounts, ensure the content is positive, accurate, and aligns with our brand values.
- Never share confidential client information, internal strategies, pricing, or unreleased work on any platform.
- Engage professionally in online spaces where you are identifiable as a Regium Touch team member.
- Report any negative online mentions or potential PR issues to leadership immediately.
Confidentiality & Data Protection
All team members have a duty to protect sensitive information:
- Client data, project details, pricing, and internal strategies are strictly confidential.
- Do not share login credentials, API keys, or access tokens with unauthorized persons.
- Use strong, unique passwords for all work accounts and enable two-factor authentication where available.
- Do not store client files on personal devices without encryption. Use approved cloud storage.
- Report any suspected data breach or security incident to leadership immediately.
Use of Company Resources
Company tools, software, and accounts are provided for work purposes:
- Use company subscriptions and tools for Regium Touch work only — not for personal projects or freelance work.
- Return all company equipment, credentials, and access upon leaving the company.
- Report any lost, stolen, or damaged equipment immediately.
Client Relationships
Our clients are the foundation of our business:
- Treat every client interaction as a representation of Regium Touch — be professional, responsive, and solution-oriented.
- Never make promises or commitments to clients without approval from project leadership.
- If a client relationship becomes difficult, escalate to the CEO rather than handling it alone.
- Do not solicit Regium Touch clients for personal business or competing services during or after your engagement with the company.
Performance & Accountability
We believe in growth through honest feedback:
- Deliverables must meet the quality standards established for each project.
- Meet deadlines. If a deadline is at risk, communicate early — not at the last minute.
- Be open to feedback and use it to improve. Feedback is given to help you grow, not to criticize.
- Repeated failure to meet expectations, missed deadlines, or unprofessional conduct may result in a formal review, probation, or termination.
Health, Safety & Wellbeing
We care about our team beyond just the work:
- Take breaks. Burnout benefits no one. If you are overwhelmed, speak up — we will find a solution together.
- Maintain a safe and clean workspace whether in the office or at home.
- Report any workplace safety concerns to leadership.
- Substance abuse during working hours or at company events is strictly prohibited.

Disciplinary Process
Violations of this policy will be addressed through the following process:
- First instance: Verbal warning and a private conversation to understand the situation and set clear expectations.
- Second instance: Written warning documenting the issue and expected improvement within a defined timeframe.
- Third instance: Formal review which may result in suspension, demotion, or termination depending on the severity.
- Serious misconduct (theft, fraud, harassment, data breach) may result in immediate termination without prior warning.
Policy Acknowledgement
All team members are expected to read, understand, and comply with this policy. By joining or continuing to work with Regium Touch, you acknowledge and agree to abide by these guidelines. This policy may be updated from time to time, and team members will be notified of any significant changes.
